MEMBERS INFO

Below your find all relevant information about becoming a member with us.

DOLPHINA MEMBER:

Whilst enrolled onto a current term you are classed as a Dolphina member and will receive members benefits. To maintain being classed as a member, you will need to continue renewing your child’s space termly.

By being a member with us you receive discounts on Drop-in Sessions & Party Bookings. You will also receive a Car Parking Permit; this will need to be displayed in your vehicle when attending classes at Dolphina.

BG INSURANCE

As Dolphina are affiliated to British Gymnastics as our sports governing body all members that take part in our classes are required to have up to date British Gymnastics Insurance. This has to be renewed every September. You will need to register your child on British gymnastics & pay for the insurance.  The insurance is required to take part in our classes, any child that does not have up to date insurance will NOT be able to participate in our classes.

*Dolphina will no longer be taking payment for the insurance and is solely the responsibility of the parent/carer. *

Children who take part in our After School/Weekend classes, Little Gymnasts class, General and Artistic Squads need the insurance.

DOLPHINA JOINING FEE:

We have a one off joining fee when booking any of our termly classes at Dolphina.

As Dolphina is a not-for-profit organization all fees go back into the club to better the facilities as well as going towards the cost of ensuring our staff are fully CRB checked child protection courses and first aid courses. Eastern County Membership is also included in this as well as a small admin fee.

Recreational Joining Fee – £40.00

Preschool Joining Fee – £20.00

*Please note: If you were not to renew for the next term, then re-join the term, the joining fee would be charged again*

DOLPHINA UNIFORM:

If you enroll your child on a course at Dolphina, it is compulsory that they have correct Dolphina uniform. All of our uniform can be purchased at Beats School uniform which is located near the centre or can be brought online at https://beatschooluniforms.co.uk/clubs/dolphina_gymnastics/

In our Recreational classes girls will be required to wear the Dolphina Leotard (shorts & leggings are optional.) Boys must wear the Dolphina T-shirt with black/navy shorts.

In our Preschool classes children must wear appropriate sports clothing e.g. shorts/leggings and T-shirt. When you book your first Preschool course you will receive a FREE ‘Little Gymnast’ T-shirt which is perfect to wear for our classes!

Clothing such as tights, socks, buckles, buttons, zips, hoodies, jeans, skirts, dresses, belts or tassels are not appropriate and cannot be worn during the class. If your child attends wearing inappropriate clothing they may not be able to take part in the class.

If your child is taking part in a taster session appropriate sports clothing must be worn. Dolphina uniform is not required until you become a member.

RENEWALS

Our renewals for the next term will be sent out via email approx 4 weeks before the end of the current term. You will receive a pre-renewal email letting you know when renewals will be sent out, then you will be sent out your renewal invoice. You have a week to pay and renew for the next term. We can take payments at reception by cash/card or online via your LoveAdmin account. Any payment not made by the deadline will result in your child being removed from the register and offered out to our waiting list.

CONTACT DETAILS & SAFETY INFO

Please ensure you enter your correct details on your LoveAdmin.com and British Gymnastics account and keep them up to date with the correct contact and medical information. We use these to send out renewals and information. It is vital that we have a correct email and contact telephone number(s) for you in case of an emergency.

If your child has any specific needs please speak to our head coach so we can discuss and help your child better.

Please make sure all jewellery is removed before the start of the session, this includes; religious bands, rings, necklaces, bracelets, earrings etc. All long hair must be tied back in either a plait of bun. Newly pierced ears  must be covered by tape/plasters in advance and allowed to be covered for the 6 week healing period after this they MUST be removed. Your child will not be insured during this time and parents must sign an earring form at reception. No pictures or videos to be taken whilst your child is in their class due to child protection reasons.

Please make sure your child is prepared and ready before their session start time, if late they will be miss valuable warm up time. We understand that in certain circumstances you may be a little late, if you could let us know we can be prepared.

If your child misses a class due to sickness, holiday or lateness etc unfortunately you are unable to make this session up on another day or time. When you book a course you book for that day and time slot.

BADGES

Throughout the term children work towards our Dolphina Levels.

Each gymnast in our after school and weekend classes are given a ‘Gymnastics Journal’ this shows the parent and gymnast what level they are working towards and the skills that need to be achieved, parents and gymnasts can track their progress with the journal. Gymnasts are given three stickers each week to put in their journal, two apparatus stickers and one feedback sticker.

*Gymnastics Journals are included within your termly fees however, if you loose your journal there will be a small charge to replace it.

Preschool:

Children in our With-Parent Class work towards the fundamental badges. Children in our Little Gymnasts Class work towards the BG proficiency 1st, 2nd & 3rd badges.

Recreational:

Levels 8 to 5 are worked in the novice classes. Once children have passed Badge 5 they move to our intermediate classes.  They then work badges 4 to 1. Once they have passed there badge 1 they move to our Advance class and work towards the Bronze, Silver & Gold levels.

If your child has passed a badge you will receive any email. Badges and Certificates are available to purchase from Reception. You will need to show the email.

PARKING

We do have FREE parking available at Dolphina however we do have limited spaces in our car park which tends to get filled up quickly.  Dolphina customers must only park in blue parking bays.

There is lots of parking available on the streets just outside our car park.

We ask all members to display their Dolphina parking permit in your vehicles when visiting Dolphina. (You can pick this up from reception.)

What does my child need to wear for their class?

Do you offer Taster Sessions?

We do offer taster sessions for our Pre-school, After school classes. You can find all our taster prices here.

You can book a taster session online by clicking here. If you would like to speak to a member of the team before booking please call the centre on 01923 800158. We only offer taster sessions on classes that we have availability on and we do recommend choosing a class that you would want to attend on a weekly basis but we do understand that this is not always possible depending on our availability.

We do recommend doing a Taster session before booking a full course as all courses at Dolphina are non-refundable. One taster session is preferred but we do allow for a maximum of two taster sessions for certain circumstances before booking the full course.

What happens if my child is late to their class?

We ask that you do your best to be prompt with the arrival time for a class, however we understand that there may from time to time be slight delays. Children that are no more than 10 minutes late will be permitted to join their class as they will still have sufficient warm up time. If your child is more than 10 minutes late they will be unable to partake in that weeks class for health and safety reasons. We will of course welcome them back into the class the following week. If you are too late for a session and unable to take part the session will not be refunded.

My child has missed a class because they were not well can they join an alternative class this week?

Unfortunately if a member misses a class due to illness, lateness or generally being unavailable, then they are unable to join an alternative class for that week. All of our classes at Dolphina are full and children are booked onto particular days and times. Refunds are not given for missed classes.

Is there Parking at Dolphina?

We do have FREE parking available at Dolphina however we do have limited spaces in our car park which tends to get filled up quickly.  Dolphina customers must only park in bays marked with a ‘D.’ Please do not park in our neighbours spaces as this may result in your car being blocked in.

There is lots of parking available on the streets just outside our car park. Please allow enough time to find parking before your class.

We ask all members to display their Dolphina parking permit in your vehicles when visiting Dolphina. You can collect your permit from reception.

Do I need to stay at the centre during my child’s lesson?

You are welcome to leave the centre once your child has gone into their lesson. Please ensure we have up to date contact details for your child before leaving the centre. Please ensure you return to the centre on time to collect your child or let us know by phone if you are running late.

For our Preschool & Drop in sessions all parents have to stay on site during the class time.

How should my child have their hair?

Long hair must be tied up. If the pony tail is lower that shoulder height it must be tied into a plait or bun to avoid catching whilst training.

What is your Jewellery policy?

During any class at Dolphina ALL jewellery MUST BE removed.

Dolphina follows British Gymnastics strict Guidelines on Jewellery. This is for Health and Safety purposes and must be followed anyone failing to follow these guidelines will be unable to partake in gymnastics at Dolphina.

Gymnasts are not permitted to wear earrings, rings, necklaces, religious bands, bracelets or any other form of jewellery on their hands, feet, ankles wrists or neck.

Earrings should be removed, any gymnast with newly pierced ears will be permitted to wear tape over the piercing for the 6 week healing period. Please make sure earrings are covered in advance, Dolphina does not supply tape. (Please note this will void the British gymnastics insurance policy for the duration that the earrings are in.) The parent/Guardian of the gymnast will be required to see reception to fill in a consent form. No gymnasts will be permitted to train if a consent form is not filled in.

Gymnasts may train for a maximum of 6 weeks with tape after which time gymnasts will be required to remove the earrings for training. Failure to do so will result in the gymnast being unable to go into their class.

Can I move my child’s class time and day if need be?

Yes provided we have space available on an alternative time and day you can change your child’s class. Please note this will incur a £30 Admin fee to cover the cost of ensuring all details have been updated for the change.

Unfortunately if our registers are full we will be unable to offer an alternative class for your child.

Can I get a refund?

All of our courses are non refundable.

Do you have a joining fee?

We do have a joining fee when booking onto our termly classes.

Dolphina is a not for profit organization, this means all of our profits goes back into the club to better our facilities. The joining fee goes towards the cost of ensuring our staff are fully CRB checked, have been on child protection courses and to train our first aider’s, among other courses.

What is my British Gymnastics Insurance for?

Dolphina is affiliated to British Gymnastics as our sports governing body. Children who take part in our After School/Weekend classes, Little Gymnasts class, General and Artistic Squads required to have the insurance to partake in regular activities. This is an insurance that all of our Coaches and Gymnasts have and are required to renew each year in September. You will need to register your child on British gymnastics & pay for the insurance.  *Dolphina will no longer be taking payment for the insurance and is solely the responsibility of the parent/carer. *

Please note this must be completed within 2 weeks of joining, failure to do so will result in your child not being able to participate in the class.

Is there anyway I can pay my Renewal in small chunks?

Our classes are only secured upon receipt of full payment for the term and provided insurance and membership are up-to date.

Dolphina renews its classes three times a year (before Easter, Summer & Christmas) approx 4 weeks before the end of Term our renewals for the next Term will be sent out via email.

What are your child to coach ratios?

A majority of our classes are a ratio of 1:10.

We try not to exceed a ratio of 1:10 and this would be in unavoidable circumstances due to staff sickness etc.

When will I receive my renewal?

We send out renewals for the next term approximately 4 week before the end of the current term. You will receive you renewal via email, (please make sure you check your junk mail!) and you can pay via your online account by paypal or GoCardless, at reception via cash or card. You will have a week to pay your renewal before your child’s name is removed from the register.

Can I take photos of my child?

No, unfortunately you are unable to take pictures of videos whilst your child is in their class to ensure as much child protection as possible.

Can I watch my child’s class?

Yes! All parents/carers are welcome to watch their child participate in the class. We have two viewing areas, an upstairs and downstairs gallery. We also have a Cafe which serves a wide range of hot/cold food and drinks.

Children will enter the class through the brown doors when called in by the coach, children will exit the class from the downstairs viewing area through the White glass door, so parents/carers will need to pick children up from there.

Please note: Parents/carers are not allowed in the gym.
